Description

VAST Data is looking for a Payroll Specialist to join our growing payroll team.

We’re hiring a Payroll Specialist that will help us improve our payroll related systems and processes and has the aptitude to be the payroll subject matter expert. This position is based in the USA and is reporting to the Director of Finance Operations.

A day in the life and how you’ll make an impact:

  • Work closely with our Director of Finance Operations to leverage operational process to Design, implement, and manage a scalable payroll operations and administration
  • Will participate in developing an efficient payroll process, support managing any payroll and compliance matters, assist with financial audits, and play an important role in supporting the Finance and People functions
  • Oversee and process payroll for employees across multiple states, ensuring accuracy and compliance with federal, state, and local regulations. Ensure pay is processed on time, accurately, completely and in compliance with all regulations
  • Ensure new hires, terminations, changes to pay rates and special payroll runs are processed accurately and timely
  • Month-end Support - reconcile payroll-related accounts and prepare journal entries for month-end close
  • Ensure compliance with multi-state payroll tax laws, including withholding, unemployment, and other reporting requirements
  • Coordinate with internal and external parties to ensure compliance with federal, state, and local payroll, wage and hour laws
  • Maintain accurate payroll records, including benefits, deductions, and garnishments
  • Partner with HR and Finance to optimize payroll processes and implement best practices
  • Analyze payroll data and provide insights to management for decision-making
  • Respond to internal payroll questions and serve as the main point of contact and Subject Matter Expert for all payroll-related matters and employees’ related inquiries.
  • Assist with the review of variable, equity, and special compensation transactions as needed, and handle ad-hoc payroll requests, tax filings, and compliance reporting
  • Support system implementations and upgrades related to payroll processing
  • Support year-end activities, including preparation of W-2s, reconciliations, and audit requests

What We’re Looking for:

  • Bachelor’s degree in Accounting, Finance, Business Administration or related field
  • 4-7 years of payroll processing experience, working in a multi-state payroll processing environment, and in a hyper growth environment
  • Strong knowledge of payroll regulations, tax compliance, and accounting principles
  • Experience handling payroll related audits, manual recalculations and reconciliations
  • Ability to partner with cross-functional teams and be the primary contact of all payroll matters for internal and external correspondence
  • Ability to identify opportunities for process improvement and drive efficiency, recognize discrepancies and anomalies through analysis
  • Ability to prioritize and work proactively and independently in a fast-paced and dynamic environment
  • Accuracy and attention to detail and problem-solving skills; ability to meet strict processing deadlines, including termination-related cases
  • Team player with strong communication, customer service, organizational and interpersonal skills
  • Experience with ADP Payroll software - mandatory
  • Proficiency in Microsoft Excel and financial reporting systems (NetSuite ERP)
  • Basic knowledge of U.S. GAAP accounting - Advantage
  • Payroll certifications (CPP, FPC) a plus
